The Opportunity
A solo founder approached us with a simple but compelling idea: “What if When2Meet had a better user experience?”
The goal was clear—build a lightweight, modern alternative to traditional scheduling tools. One that made it effortless to coordinate availability without accounts, logins, or outdated UI.
From this vision, Availio was born.
Why Reimagine When2Meet?
When2Meet has long been a popular tool for scheduling group meetings, particularly for students and small teams. However, its interface has seen little evolution over the years. While functional, it presents several key limitations that hinder usability and accessibility.
Common Pain Points:
- Unintuitive interactions: The selection grid lacks clear feedback and can be difficult to use, especially for first-time users.
- Outdated visual design: A barebones UI with little attention to hierarchy or user flow, making the experience feel dated.
- Limited mobile usability: On mobile devices, the grid becomes difficult to navigate, with frequent misclicks and poor responsiveness.
- Lack of visual clarity: Availability summaries are hard to interpret, especially in larger groups.
Rather than iterate on these shortcomings, we chose to reimagine the product experience entirely. With Availio, we focused on:
- Clean, modern UI that feels intuitive on first use.
- Mobile-first layout with touch-friendly interactions.
- Real-time feedback and clear visual summaries.
- Zero friction: no logins, no downloads, no unnecessary steps.
The Goal

- Prioritize speed, clarity, and ease of use across devices.
- Enable sharing and coordination without requiring users to create accounts.
Our Process
1. Designing Around the User
We led with simplicity. Every interface decision was guided by one principle: the fewer clicks and questions, the better. We modernized the grid-based availability system from legacy apps and made it responsive, accessible, and mobile-first.
2. Choosing the Right Stack
To deliver quickly without sacrificing scalability:
- Next.js served as the foundation for its performance and SSR benefits.
- Vercel enabled instant previews and fast deployments.
- Supabase gave us a flexible backend with real-time syncing, managed PostgreSQL, and optional authentication.
This stack let us build fast while leaving room for growth.
3. Prototyping with the Founder
The solopreneur was involved throughout the build. We shipped early and often, validating design choices and prioritizing the features that mattered most: drag-to-select availability, visual voting, and clean shareable links.
Building a Landing Page That Converts
Alongside the product, we developed a focused landing page designed to convert visitors into users with minimal friction.
Key components included:
- Clear, benefit-driven copy above the fold.
- A live demo embedded on the homepage to showcase the core feature.
- One-click CTAs to create a new poll immediately.
We also implemented lightweight analytics (via Plausible and custom event tracking) to gain immediate insight into user behavior:
- Which call-to-actions got the most engagement?
- How far users scrolled before bouncing?
- What percentage of users completed a poll creation flow?
This data informed quick iterations, such as repositioning CTAs, simplifying copy, and testing color schemes. The result was a fast-loading, conversion-oriented landing experience aligned with the product’s no-friction philosophy.

Availio launched as a fully functional MVP within a month. The app offers a clean, no-friction experience that works across devices and browsers.
